Managing your troop in eBudde (girls’ balances, troop inventory, etc.):

o   Initial order cookies are already assigned to the girls in the Girl Orders tab. You do not need to enter a transaction in eBudde when you give these cookies to your girls. You DO need to write a detailed and accurate receipt showing you gave the cookies to the parents

o   The funds for any Digital Cookie orders (during or after the Initial Order) are automatically credited to the girls’ balances. You DO NOT need to enter payments for any cookies purchased with Digital Cookie or processed as an in-hand transaction on the Digital Cookie app.

o   The parent must be responsible for telling TCMs what cookies they need based on the Digital Cookie orders they have received

      •         The parent can see what transactions need to be delivered, no matter when the order was submitted (during or after Initial Order)
      •         The TCM should not try to match the cookies given to the parents to the orders received on Digital Cookie, the parent should do this

**Cookies sold in Digital Cookie after initial order are not automatically transferred to eBudde because there is a possibility the girl already has inventory to fulfill the order assigned to her. You would not enter payments for Digital Cookie orders because that is applied to her balance automatically. Don't get bogged down trying to match inventory to exact Digital Cookie orders. The parents know what cookies they have on hand, what orders they haven't delivered, and when they will deliver their orders. If they need more cookies to fulfil an order, they can request them from you. You only need to enter a transaction in eBudde when you assign girls cookies or receive a payment from the parent.**


New in 2022: In Digital Cookie, Caregivers can see every transaction entered for their girl in eBudde. Update eBudde frequently and accurately to reduce confusion and questions!

Digital Cookie adds up the shipped, girl delivery, and donated orders in the Girl Orders tab of eBudde. The caregivers may be seeing a total in Digital Cookie that includes shipped and donated orders, but TCMs only need to worry about girl delivered orders – just keep in mind the shipped/donated cookies (and payments) are added to her inventory automatically in eBudde, so if you need to know the total physical cookies she received, you’ll need to remove those. 

As TCM, write a receipt and enter a transaction in eBudde every time you give out cookies or receive cash from a caregiver. That is the most important job, and eBudde is a well oiled machine that keeps track of inventory and balances due automatically – as long as it is updated correctly and often.

In eBudde, TCM can see the varieties ordered for girl delivery in Digital Cookie by clicking Girl Orders, selecting the girl, then changing the drop down menu on the top right to “Girl Delivery”. You will see the girl delivery orders the girl has received from Digital Cookie before and after Initial Order. But, this is really the caregiver’s job to monitor the varieties needed as they may already have some inventory on hand.

The caregivers can see the varieties assigned in eBudde, minus the orders they have received on Digital Cookie as girl delivery/in-hand and orders they entered in Digital Cookie as offline sales in the My Cookies tab, and the total number of ADDITIONAL cookies they need to fulfill girl delivered orders placed with Digital Cookie. The caregivers should be telling you what additional cookies they need.

Digital Cookie orders will automatically assign the payment to the girl in eBudde. Girls who are heavy Digital Cookie users will most likely have a negative balance. You have to monitor each girls’ inventory and balance as it is reported in eBudde. Don’t assign additional cookies if eBudde says they already owe a large balance.


o   Any time you give cookies to a girl:

        You must write a detailed and accurate receipt (including signatures from you and the parent!!) as proof they received the cookies. If further action is needed at the end of the program, you MUST have these!!

o   Any time a parent makes a payment on her balance:

        You must write a detailed and accurate receipt (including signatures from you and the parent!!) as proof you received the funds. If further action is needed at the end of the program, you MUST have these!!

o   When you need cookies after you receive your initial order:

        You should submit an order to your local cupboard. Instructions: CLICK HERE


o   Enter troop booths in eBudde:

     Find your SUCM's contact information on your troop dashboard in eBudde. Check with your SUCM for their process to approve troop booths. Instructions: CLICK HERE


o   Cookies must be distributed to live girls:

     Do not leave cookies assigned to the Troop Site Links for your troop. Enter a negative transaction to remove cookies and payments from the Troop Site Link in the Girl Orders tab. Assign these cookies and the payments to live girls.
