Trefoil Tidbits - edition 3 - 1.25.2021

 

·         Initial Order Entry:

o    Parents may enter girl’s paper order card initial order totals into Digital Cookie.

*This is an optional process. TCMs can choose which process works best for them to receive the paper order cards.

For Parents to enter paper order card totals into Digital Cookie:

§   Login to Digital Cookie as a parent

§   Click Inventory tab

§   Enter the total number of packages on the paper order card for each variety: Care to Share, Lemon-up, Trefoil, Do-si-do, Samoa, Tagalong, Thin Mint, S’mores and Toffee-tastic

§   DO NOT INCLUDE ORDERS PURCHASED THROUGH DIGITAL COOKIE

§   Click “Update Initial order”

 

o    TCM pulls report for Initial Orders entered in Digital Cookie by Parents:

§   Login to Digital Cookie as a Troop Leader

§   Scroll to the bottom of your dashboard to the Reports section.

§   Click “Get Report” beside the Initial Order report. The report will download.

§   Use this report to enter the paper order card orders in the Initial Order tab of eBudde.

§   DO NOT ENTER ORDERS PURCHASED THROUGH DIGITAL COOKIE

 

o    Troop Initial Order Entry:

§   Login to the Cookie Tech Portal here: https://cookieportal.littlebrownie.com/

§   Click eBudde.

§   Click on the Initial Order tab.

§   DO NOT ENTER ORDERS PURCHASED THROUGH DIGITAL COOKIE

§   Click the “Order Card” line on the girl you wish to enter.

§   The line to enter totals shows on the bottom of the screen in yellow.

§   Enter the total number of packages to order for each variety: Care to Share, Lemon-up, Trefoil, Do-si-do, Samoa, Tagalong, Thin Mint, S’mores and Toffee-tastic.

§   Press the blue “ok” button on the right when the totals are accurate.

§   Click “Save” in the top left corner.

§   Repeat the previous five steps for each girl in your troop.

§   Enter any extra cookies you wish to order for your troop in the “Other” or “Booth” lines

·         Remember eBudde rounds the initial order up to nearest case.

·         Council Cupboards will open the week following Count and Go. You will be able to restock cookies starting 2/24/2021.

§   Once each girl’s paper order card is entered, confirm each girl’s total listed in the Initial Order tab matches the paper order card the parent gave you (or entered in Digital Cookie)

§   Once you are confident your initial order is correct, click the red “Submit Order” button.

§   A notice that your Initial Order has been submitted will display with instructions to go to the Delivery tab in eBudde to select your Count and Go location, date, and time.

§   Click on the Delivery tab.

§   Answer the two questions appropriately.

§   Select the Delivery Station (Count and Go location) from the drop-down menu.

§   Choose a date and time that is available.

§   Click “Submit My Info”

§   A confirmation will show of the Count and Go location, date, and time you selected.

 

·         Service Unit/Direct Drop Deliveries:

o    Available on orders of more than 600 cases

o    Please alert Sarah at sstutsman@girlscoutsnca.org as soon as possible for a direct delivery

o    Do not enter a delivery station if planning a direct drop.

 

·         Council Booth Opportunities:

·         Girl Scouts NCA - GH & COTB Process:

o    This is the process for troops to select a Grubhub and Council Office Troop Booth

o    These booth opportunities will appear in the Booth Lottery as “Girl Scouts NCA – GH & COTB”.

o    These processes are combined as one booth choice in eBudde.

o    To participate in a Grubhub and Council Office Troop Booth, Troops will need to provide “Thank you” notes and bags to the specified office at least one week before their assigned date.

o    Council Office Troop Booths will show in the Cookie Finder for customers looking for cookies. The Council Office Troop Booth process is in place for walk-in or call-in customers looking for cookies at our offices.

 

·         Grubhub Process:

o    This is a new process for us all. We are still working out all the details! Please be on the lookout for any updates after the pilot program.

o    GSNCA will have a pilot program to test specific details and processes February 22 – March 4

o    Monday – Thursday

§   Troops will need to provide “Thank you” notes and bags to the specified office at least one week before their assigned date.

o    Friday – Saturday

§   Troops will need to provide “Thank you” notes and bags to the specified office at least one week before their assigned date.

§   Troops with girls Juniors and up can choose to participate in person to pull, pack, and distribute orders Friday 5 pm-8 pm, and Saturday 11 am-8 pm.

o    Materials sent out CANNOT contain Digital Cookie Links

o    Troops can request reorders through Grubhub delivery/pickup.

o    If participating in person, troop/booth leaders will document inventory with GSNCA staff members before and after the booth.

o    The troop will be assigned cookies as a cupboard transaction per the booth inventory sheet – Please ensure to count and recount cookies!

o    Funds will be applied as a payment to the balance due to GSNCA in eBudde the Friday following Wednesday-Tuesday booths

 

 

·         Council Pop-up Booth Process:

o    GSNCA will host Pop-up booths around our council! These will have media coverage, be advertised locally, and will also appear in the Cookie Finder!

o    Hosting troops will be selected randomly in a drawing.

o    To enter the drawing for a Council Pop-up Booth, complete this form: https://gsnca.formstack.com/forms/council_popup_booth_location_drawing

o    Entries must be received by February 26 at 5 pm

o    The hosting troop will be randomly selected from the entries submitted on the form above.

o    Council Pop-up Booths will operate 8 am-5 pm, with three three-hour shifts per booth.

o    The exact addresses of Council Pop-up booths are still being finalized.

o    Troops must arrive no later than 15 minutes before the booth start time.

o    Troops will not need to provide cookie inventory for the Council Pop-up booths. Troop/booth leaders will inventory the cookies with the GSNCA staff member before and after the booth. The troop is assigned cookies as a cupboard transaction per the inventory sheet. Please ensure you count and recount all cookies!

o    Troops must provide change for cash customers. Cash box, change, and any funds received at the booth will be strictly the troop's responsibility to monitor, count, and secure. Staff members are not to handle any cash and cannot be responsible for securing any cash on behalf of the troop.

o    Troops must have a process to offer debit/credit card customers an option to pay as this will be advertised at the booth. (Troop Site Link, individual girl Digital Cookie profile, Square, etc.)

o    Girls are encouraged to provide "Thank you" notes to customers with the Troop or girl's Digital Cookie link to request reorders.

o    It is a recommended practice to bring bags to place orders in.

 

·         Troop Booth Information:

·         Family Cookie Experiences:

o    Families can set up local booths for their family to participate in the Cookie Program! How this will work:

o    At least one (1) registered Girl Scout must be in attendance.

o    Family Cookie Experiences are not allowed at council-coordinated booth locations.

o    Parent/Guardian must have permission from the establishment and complete a Booth Permission Form. This form must be sent to the Troop Cookie Manager.

o    At this time, it is NOT required for Family Cookie Experiences to be entered in eBudde. However, loading the booth into eBudde is the only way for it to be seen on the Cookie Finder and will prevent booths from being scheduled too closely together.

o    Family Cookie Experiences must follow all etiquette, GSNCA, GSUSA, and Service Unit guidelines concerning booths.

o    Follow all safety guidelines.
